Privacy Policy
This policy explains what information we collect, why we collect it, and how it is protected across the Ozap Space platform.

Who this policy covers
This policy applies to guardians, students, tutors, assessors, and school staff who use Ozap Space, including the FR-SCC assessment and one-on-one tutoring services. Because many of our users are minors, this policy is written to work alongside our Child Privacy Notice, which governs how we handle information belonging to students under 18.
Information we collect
- Account information you provide directly, such as a guardian's name and email, and a student's name, date of birth, and grade level.
- Consent and assent records, including who provided consent, when, and for what activity.
- Assessment and tutoring activity, such as session scheduling, progress notes, and learning plan updates.
- Billing information processed through our payment provider. We do not store full payment card numbers on our own servers.
- Basic technical information (such as browser type and general usage patterns) used to keep the platform secure and functioning.
How we use information
We use information to run the assessment and tutoring services, verify consent before any activity involving a student begins, communicate with guardians about their student's progress, and process payments. We do not use student information to build advertising profiles, and we do not sell student data.
Who can access student information
Access to student records is restricted by role. A guardian can only see their own linked students. A tutor or assessor can only see students they are actively assigned to work with. Every access path is enforced by row-level security in our database, and every consent decision and case status change is written to an audit log.
How we protect information
We apply data minimization by design: we collect only what is needed to run a valid assessment or tutoring session and to build a development plan. Student profiles are referenced by pseudonym codes wherever possible in day-to-day operations.
Your rights
Guardians can request a copy of their student's data, request corrections, or request deletion at any time from their dashboard or by contacting us, subject to reasonable recordkeeping requirements (for example, records we are required to retain for billing or legal purposes). Withdrawing consent pauses assessment and tutoring activity going forward.
